Group pricing, answered

The questions finance and procurement teams ask most before signing off a group order.

  • How exactly do the volume discounts apply?

    Discounts apply automatically once a purchase order reaches the relevant seat threshold: 10% off from 5 seats, 15% off from 10 seats, 20% off from 25 seats, and custom pricing from 50 seats. The discount applies to every seat on that PO, not just the seats above the threshold.

  • Is there a minimum commitment length?

    No. Group pricing is based on seat count, not contract length. You can run a single cohort with no ongoing commitment, or set up a rolling account that adds cohorts over time.

  • Can we add seats partway through the year?

    Yes. You can add learners to an existing account at any time. If the additional seats push your total past a discount threshold, the new pricing tier applies to the additional seats going forward.

  • Do unused or unallocated seats expire?

    Seats are tied to named learners at the point of enrolment, so there is no separate seat bank that expires. If a named learner has not started within a reasonable window, speak to your account manager about reallocating that seat to someone else.

  • What happens to seats if a learner leaves partway through?

    You can reallocate an unused portion of a seat to a replacement learner within the same billing year, subject to the qualification still being available for enrolment. Your account manager handles this directly, there is no self-service seat transfer yet.

  • Can we pay by purchase order instead of card?

    Yes. Most group accounts are billed against a purchase order with a consolidated invoice, which is generally easier for finance teams than individual card payments. Card payment remains available for smaller or one-off enrolments.

  • Is VAT charged on qualifications?

    VAT treatment depends on the qualification and your organisation type. Many regulated qualifications are VAT-exempt, but some CPD and short courses are not. Your written quote itemises VAT so your finance team can confirm treatment before signing off.

  • What is the refund policy for a group cohort?

    Individual learners have a 14-day statutory cooling-off period from enrolment. For group cohorts, refunds on seats cancelled after this window are assessed case by case based on how much of the course has been accessed, and are agreed directly with your account manager.
